Who we are

Operate Engineering LLC, doing business as OPERATE, is a software architecture firm based in Texas. This policy covers our website at operateengineering.com and the OPERATE client portal at portal.operateengineering.com. Work we do under a signed engagement is also governed by that engagement's agreement.

What we collect

• Website: our hosting provider keeps standard server logs, such as IP address, browser type, and the pages requested, for security and reliability.
• Scheduling: when you book a call through our scheduling page, you give your name, email address, and the time you chose. That booking is handled by Cal.com under its own privacy terms.
• Client portal: your name, mobile number, and optionally your email address, as provided by your organization when you are invited. Reports you submit, including descriptions, photos, videos, comments, and the page or screen you reference. Sign-in records and any passkeys you register on your devices.

How we use it

We do not sell personal information and we do not use it for advertising.

• To run the portal: sign you in, show you your organization's reports, and keep a record of what was reported and what changed.
• To notify you about your reports by text message, when you have that turned on.
• To schedule and hold calls you request.
• To keep the services secure and to investigate problems.

Text messages

The portal can send you text messages about reports you submit, for example when a fix is ready for you to test or has gone live. Messages come from Operate Engineering LLC. You are added to the portal by your organization with your consent, and each report has a setting that lets you turn its texts on or off. Message frequency varies with your activity. Message and data rates may apply.

Reply STOP to any message to stop receiving texts. Reply HELP for help, or contact us using the details at the end of this policy.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

Who can see portal content

Reports and comments you submit are visible to the members of your organization who use the portal and to OPERATE. They are not visible to other organizations. Internal notes that OPERATE writes for its own tracking are not shown to clients.

Service providers

We rely on a small number of providers to run these services. Each receives only what it needs to do its job.

• Vercel hosts the website and the portal.
• Supabase stores portal data, handles sign-in, and stores uploaded files.
• Twilio sends sign-in codes and notification texts.
• Cal.com handles call scheduling.

How long we keep it

Portal content is kept for the length of your organization's engagement with us and for a reasonable period afterward so that the record of what was reported and fixed stays intact. You can ask us to delete your personal information at any time, and we will do so unless we need to keep it to meet a legal obligation.

Security

Data is encrypted in transit. Access to portal data is restricted by organization, so each client sees only its own. Sign-in uses one-time codes sent to your phone, and you can add passkeys for stronger sign-in on your own devices.

Your choices

• Turn text notifications off for any report from that report's page in the portal, or reply STOP to a message.
• Ask us to correct or delete your information by contacting us below.
• Ask your organization's administrator to deactivate your portal access.

Children

Our services are for businesses and are not directed to anyone under 18. We do not knowingly collect information from children.

Changes to this policy

If we change this policy we will update the effective date at the top of this page. Material changes that affect portal users will also be posted in the portal.
